How to Reinitialize General Journal Entry files in Sage 100

Resolution

CAUTION: Use caution when working with the below product functionality. Always create a backup of your data before proceeding with advanced solutions. If necessary, seek the assistance of a qualified Sage business partner, network administrator, or Sage customer support analyst.

  1. Expand ModulesLibrary Master, Utilities menu, Reinitialize Data Files
  2. Select applicable Company Code from lookup
  3. Select General Ledger from Module drop down list
  4. Select the following files (ONLY) to erase:
    • GL_GeneralJournalHeader.m4t
    • GL_GeneralJournalDetail.m4t
    • GL_GeneralJournalRestart.m4t
  5. Click Proceed

If Batch Processing is enabled for General Journal Entry in General Ledger Options, then the active batch records for G/L General Journal Entry will also have to be manually deleted using the Data File Display and Maintenance Utility:

  1. Expand ModulesLibrary Master, Utilities menu, Reinitialize Data Files
  2. Select “Yes” at the warning prompt that ends with: “This utility should only be used under the direction of a Customer Support Representative”
  3. For File Name, click the Browse/Open (folder icon) button to access the “..\MAS90\MAS_XXX\GLXXX” (“XXX” is the company code) where General Ledger data files for the company are stored
  4. Select the GL_CompanyActiveBatch.m4t data file and click Open
  5. Click the Key Scan (magnifying glass icon) button to see a list of existing open batches in data entry for all application modules (not just G/L).
  6. Find and Delete all individual records in this GL_CompanyActiveBatch.m4t data file that have a ModuleCode “GL” and BatchType “01
