"Customer already exists in Sage 300 ERP" When Promote to Customer/Vendor in CRM.
Cause
After CRM user Unlink This customer in CRM, you must promote the company to ERP as customer again to re-establish the linkage.
However the design of “Promote to Customer” in CRM was designated for New Customer, but not for existing customer already in Sage 300.
You receive an error message “Customer already exists in Sage 300 ERP” after unlink the customer from CRM company then try to re-establish the link again. Sage 300 side the customer still retains the same Customer number, thus CRM cannot re-establish another link with existing Sage 300 customer.
Resolution
CAUTION: Use caution when working with the below product functionality. Always create a backup of your data before proceeding with advanced solutions. If necessary, seek the assistance of a qualified Sage business partner, network administrator, or Sage customer support analyst.
You can import the Customer from ERP side again :
- Go to Administration
- Sage 300 ERP Administration.
- Import Customers or Import Vendors.
- Map the linkage by using existing Customer Number in Sage 100 side.
Look up the range of customer numbers by input the Customer Number in both From Customer Number: and To Customer Number:
- Click on Import from Sage 300 ERP then wait for the Customer to be imported to CRM.
After Import is complete, you should have two companies with same/similar name:
- Identify the newly imported company that is from Sage 300 side to CRM.
Enter its Customer number in Find > Company > Sage 300 ERP Customer Number. - Select the company name that has the Customer Number.
- Click the company summary tab
Then Merge the linked company with unlinked company with the same name:
- First enable company merge, in Administration > Users > Users search screen.
Find your own user name/ current login name, then click and continue. - Click Change in User Details
- Merge Persons/companies is Yes
- Go back the afore mentioned company, then click on Change in Company Summary.
- Select The Source (unlinked company), and it will be merged with (absorbed by) the current company that has the link with Sage 300.
- Click on Merge Company
This method ensures that you can map CRM company with Sage 300 Customer, by passing the Promote to Company having to create new customer name, and use existing customer name.
