How to change the amount on an AP invoice after it has been posted in Sage 300
Description
A posted invoice has an incorrect amount and needs to be changed.
Resolution
The problem may be resolved by issuing either a credit / debit note or making an adjustment to change the amount on the invoice.
To enter a credit or debit note:
- Go to the Accounts Payable, A/P Transactions, Invoice Entry window
- Select or enter the Vendor number
- In the Document Type dropdown, select Credit Note to reduce the amount on the invoice
Select Debit Note to increase the amount on the invoice - Enter a Document Number
- In the Apply-To Document field, select the document to apply the credit or debit note to
- In the Document Total field, enter the total amount of the document. This amount will increase or decrease the invoice specified in the Apply-To Document field
- In the Detail grid, enter the amount (less any taxes)
- Add the Invoice Entry
- Post the Invoice Batch
To enter an adjustment:
- Go to the Accounts Payable, A/P Transactions, Adjustment Entry window
- Select or enter the Vendor number
- In the Document Number field, select the document to adjust
- In the detail grid, select or enter the Adjust Line Number, Dist. Code or G/L Account to adjust
- Enter a debit to increase the balance of an expense, purchases, or inventory account
- Enter a credit to decrease the balance of an expense, purchases, or inventory account
- Add the Adjustment Entry
- Post the Adjustment Batch
