How to use SAP Crystal Reports with Sage 50

Resolution

Note: 

  • Beginning with Release 2015, Crystal Reports is no longer accessible from within Sage 50 – US Edition
  • Custom Crystal Reports, reports can still be used with Sage 50, but must be opened from the Crystal Reports application
  • Upgrading to Release 2015 does not remove the Crystal Report files (.RPT files) from your company directory
  • To use customizable reports within Sage 50, it is recommended to utilize Sage 50 Intelligence Reporting 

Section I: Install Sage 50 Data Functions 

  1. Open your company
  2. Select, Maintain, Users, Setup Security 
  3. Select the Data Access/ Crystal Reports tab
  4. Select Install Sage 50 Data Functions
  5. Select OK on the confirmation message
  6. Under Access from Outside Sage 50, select With the following login information
  7. The user name ‘Peachtree’ cannot be changed
  8. Select Change
  9. Enter the desired New password. This password must be exactly 7 characters long and include a number 
  10. Select OK
  11. Select Close

Section II: Set up Crystal Reports Connection

  1. Open Crystal Reports Designer
  2. Select Blank Report
  3. Expand Create New Connection
  4. Expand OLE DB (ADO)
  5. Check Use Data Link File 
  6. Select Browse button at the end of the Microsoft Data Link File box
  7. Browse to your company directory, select CrystalReports.udl, and then click OK
  8. Select Next
  9. Enter User ID (Peachtree), and then enter your Password
  10. Select Finish 
  11. Select Update

Section III: Connecting Sage 50 company data to Crystal Reports

  1. If company data is still not populating in the report, open up custom report in crystal reports. 
  2. Browse to Database, Database Expert
  3. Browse out the OLE DB (ADO) Connection setup earlier and select it 
  4. Check Use Data Link File, and then browse out to location of CrystalReports.udl file in Microsoft Data Link File
  5. Uncheck Use Data Link File, and then select Pervasive PSQL OLE DB Provider under Provider 
  6. Select Next, and enter password for user ID; click Next and then Finish
  7. Verify that custom crystal report loads up data from company in Sage 50
