How to use the Filter Builder in a Business Insights Explorer View to select records for display by conditions and operands for field values in Sage 100

Note: Fields available for the Filter Builder vary according to the View selected. Sage 100 Customer Support cannot assist in customizing your view to your individual requirements or needs.
The following example uses the Customer History Invoices View in the ABC demonstration company to explain some of the options and features available:
- Open Business Insights, Explorer menu, Customer History Invoices View
- Click Filter Builder… button to open the Filter Builder window
- The first default line is Filter AND
- If desired, click Filter for three options:
- Add Condition – If you select this to add another condition, by default, you would see Invoice equals . You can then select the parameters of the condition. Click on:
- If desired, click Filter for three options:
- “Invoice” to select another field like Inv Date, Customer, Salesperson, etc.
- “equals” to select another operand such as does not equal, is less than, between, etc.
- “” to enter or select a value for the field. If the field is “Invoice“, then enter or select an invoice number, if available.
- Add Group – If you select this, you may add another set of conditions, linked by AND, OR, NOT AND, or NOT OR.
- Clear All – If you choose this, you will remove all conditions (whether default or user-created)!
- Notice there is already a default condition “Type does not equal XD” to hide deleted invoices in history):
- If desired, click the … button to the left of “Type does not equal XD” for three options:
- Add Condition – If you select this to add another condition, by default, you would see Invoice equals . You can then select the parameters of the condition. Click on:
- “Invoice” to change field to another like Inv Date, Customer, Salesperson, etc.
- “equals” to change operand to another like does not equal, is less than, between, etc.
- “” to enter or select a value for the field. Values depend on the field. If the field is “Invoice“, then enter or select an invoice number, if available.
- Add Group – If you select this, you may add another group of conditions, linked by AND, OR, NOT AND, or NOT OR.
- Remove Row – If you choose this, you will removes the condition. In this case, removing Type does not equal XD, would mean deleted invoices in history will no longer be hidden
- Add Condition – If you select this to add another condition, by default, you would see Invoice equals . You can then select the parameters of the condition. Click on:
- If desired, click the … button to the left of “Type does not equal XD” for three options:
- Example: If you want to create a list that only shows invoices belonging to three specific customers in the ABC demonstration company:
- Click Filter
- Select Add Group to create a new group line where “AND applies to the following conditions“
- Click “AND“, on the new group line “And Applies to the following conditions” and select “OR” from the dropdown list instead
- For the first condition line in this group:
- Click “Invoice” on the (already created) condition where “Invoice equals ” and select “Customer“
- Click “” and select the first customer
- Example: ABF
- For the second condition line in this group:
- Select “Click this button to add a new condition” to create the second condition line
- Click “Invoice” on the condition where “Invoice equals ” and select “Customer“
- Click “” and select the second customer
- Example: BRESLIN
- For the third condition line in this group:
- Select “Click this button to add a new condition” to create the third condition line
- Click “Invoice” on the condition where “Invoice equals ” and select “Customer“
- Click “” and select the third customer
- Example: ORANGE
- Click the Apply button to save the changes and apply the Filter Builder settings to the Customer History Invoices View.
- Notice that the only historical invoices that now display are non-deleted invoices that belong to ABF, BRESLIN, and ORANGE.
- Note: If AND had been selected for this group instead of OR, no records would have displayed because no single invoice record would have matched the requirement of having all three Customer values, since an invoice can only have one value for the Customer field.
