How to reinitialize Accounts Payable Invoice Data Entry files

Resolution

Before doing steps below please read General Guidelines for Reinitializing section below

Files to reinitialize to clear all entries in the Accounts Payable Invoice Data Entry data files:

  1. Open Library Master, Utilities, Reinitialize Data Files.
  2. Select Accounts Payable, and the desired company code.
  3. Select to reinitialize only the following files:
    • AP_InvoiceDetail
    • AP_InvoiceHeader
    • AP_InvoiceMemo
    • AP_InvoiceRestart.M4T
    • AP_InvoiceTaxDetail
    • AP_InvoiceTaxSummary
  4. If batch entry is used, delete the batch record from GL_CompanyActiveBatch, do the following:
    1. Open Library Master, Utilities, Data File Display and Maintenance
    2. Click the Browse button, and browse to ..\Mas90\MAS_xxx\Glxxx\GL_CompanyActiveBatch (xxx = company code).
    3. Click the Key Scan button, and select the batch number. For example, the key “A/PO0100002” has the following format:
      • Module code: 2 characters (A/P)
      • Batch Type: 2 digits (01)
      • Batch Number: 5 digits (00002)
    4. Click Delete
  1. Open Library Master, Utilities, Rebuild Application Sort Files.
  2. Select the option to rebuild Accounts Payable sort files for the company.
  3. Click Proceed

General guidelines for reinitializing files:

  1. The previous update of data had to have been successful for all entries. Since that time, no attempt has been made to update the data entered after the update.
    • Note: Printing the journal is acceptable. Selecting “Yes” when prompted to restart an update is not acceptable, because that would represent an attempt to update.
  2. If using Batch Entry: All good batches have been successfully updated if possible. No attempts had been made to update any remaining batches that may be damaged and will be lost.

If Data Entry is empty: If everything has been updated and no existing entries can be found, it may be acceptable to reinitialize. This typically occurs on “ghost” batches or “ghost” entries, or to resolve possible damage in a data file after data within the file is updated
