How to Import Emails into Paperless settings using Visual Integrator in Sage 100
Description
Using Visual Integrator, how can I import Accounts Receivable customer Paperless settings for Email (stored in the AR_CustomerDocuments file)?
For example: for a specific document type such as S/O Invoice, we want to set the Email flag for specific customers and populate the “additional” email addresses value.
Cause
- Only one Additional Email Address can be imported at one time on the Import into AR_CustomerDocuments.M4T.
- The actual email addresses are written to the AR_CustomerDocumentContacts.M4T file.
- To do multiple Additional email addresses, you will need to do more than one pass running the Import Job.
- You will need to have separate Source files containing different email addresses and select the new source when running the VI Import Job the 2nd time or modify the original Source file after the first run and re-run the Import Job.
- Note: if there is more than one Additional Email Address in the source for a particular Accounts Receivable customer and you add the L.ToAdditionalEmailAddress field more than once to the import – only the last one will be saved when the job completes.
Resolution
- Create a new Visual Integrator import job (Visual Integrator, Main, Import Job Maintenance).
- Enter the job Configuration including the Source document and path (containing the list of customers and additional email addresses).
- On the Data tab, the following fields are needed:
- H.ARDivisionNo REPL AR Division for the Customer
- H.CustomerNo REPL AR Customer number
- H.Document ASSN Document name: A/R Invoice, A/R Statement, R/A Customer RMA, R/A RMA Receiver, S/O Invoice, S/O Order.
- H.EmailDocument ASSN Enter Default as Y
- L.ToAdditionalEmailAddress REPL Additional Email address to be added
- Note: You can also Assign the H.UseCustomerEmailAddress value to Y to Use Customer’s Email Address
Note: the H.Document field must be listed in the Import job before the H.EmailDocument or any other fields other than AR Division and Customer No.
